What's in the spreadsheet
- Budget: 17 categories, each with a share of your total, the budget it works out to, what you've been quoted, what you've paid, what's still to pay and what's left. Totals, cost per guest and a line that tells you when the shares don't add up to 100%. Five empty rows for your own categories.
- Payments: every deposit and payment with its due date, and a Paid? dropdown. The top shows what's scheduled, paid and still to pay.
- Vendors: 16 common vendors to fill in with business names, contacts, websites, and whether they're booked and the contract is signed.

The starting split is the same one the wedding budget calculator uses: about half for the venue, food and drinks, a fifth for photos, video and music, and the rest for everything else, plus a buffer.
How to open it in Google Sheets, Excel or Numbers
- Google Sheets: open sheets.google.com, choose File, then Import, then Upload, and pick the downloaded file. The formulas and dropdowns keep working, and you can share it with your partner from the Share button.
- Excel: open the file. If Excel shows a "Protected View" bar because the file came from the internet, click Enable Editing.
- Apple Numbers: double-click the file, or open it from Numbers on your iPhone or iPad.
How to use it
- Put in your total budget and guest count in the shaded cells at the top. Every category budget and the cost per guest update.
- Adjust the shares so they fit what matters to you. Move money from the categories you care less about to the ones you care more about, and keep the shares at 100%.
- Add quotes as they come in. "Left in budget" turns negative when a quote is more than its budget, so you see early where you're over.
- Log every payment on the Payments sheet with its due date, so final payments a week or two before the wedding don't surprise you.
- Keep vendor contacts together on the Vendors sheet. It's handy to share with your coordinator or wedding party.

Wedding budget spreadsheet FAQ
Is the wedding budget spreadsheet free?
Yes. Download it straight from this page; there is no sign-up and no email address to give. It is an ordinary .xlsx file, so it keeps working without us.
Can I use it in Google Sheets?
Yes. In Google Sheets choose File, then Import, then Upload, and pick the downloaded file, or upload it to Google Drive and open it with Google Sheets. The formulas and dropdowns keep working, and you can share it with your partner.
How do I add my own categories?
Type them into the five empty rows at the bottom of the category list and give each a share. You can also insert rows inside the list; the totals include them.
Why do my shares not add up to 100%?
The line under the totals tells you what they add up to, and "Not assigned to a category" shows how many dollars are left over or missing. Raise or lower the shares until the line says they add up to 100%.
What do Quoted, Paid and Still to pay mean?
Quoted is what a vendor has quoted or what your contract says. Paid is what you have paid so far, and Still to pay is the difference. Left in budget is the category budget minus the quote, or minus what you paid if there is no quote yet.
Does it include average wedding costs?
No, so that it starts from your own total. The wedding budget calculator page lists average costs from The Knot's 2026 Real Weddings Study if you want a sense check.
